Sonsray is seeking a professional high-level Executive Personal Assistant to join their dynamic organization at our corporate office in Torrance, CA.  The Executive Personal Assistant will receive competitive compensation as you provide full administrative personal and business support to the President and interface with the executive’s team, manage calendars, coordinate internal and external meetings, and answer President’s incoming calls and emails.

Responsibilities:

  • The Executive Personal Assistant is responsible to support the President directly from start to finish on numerous personal and business affairs, along with supporting his wife and children on a variety of tasks.
  • Ideal candidate will have strong communication skills as well as prioritize and manage several desk duties
  • The position will communicate directly with various levels of executives, vendors, and coordinate interdepartmental communications
  • Manage President’s calendar; arranging conference calls and meetings
  • Manage the President’s children school calendar and tutor communication to assure all school work is completed
  • Schedule complex travel (air, ground), book hotels
  • Sort, prioritize, and summarize incoming mail, intra-office communication, and documents that require follow-up, action, and/or signature
  • Attend meetings, take accurate minutes of meeting, track/organize and send follow-up reminders to the President to assist him in assuring his management and executive team are meeting important tasks and deadlines
  • Interact cooperatively and professionally with senior staff and other team members to provide back-up assistance as needed
  • Perform specific projects and research as needed
  • Prepare and edit correspondence, reply on behalf of the President or any supporting team member
  • Handle sensitive situations with professionalism, confidentiality, and exercise good judgment
  • Perform miscellaneous related duties as required and assigned

 

Requirements:

  • 3+ years’ experience of executive administrative experience, with proven success supporting owner, and/or C-level executive
  • Willing to assist President with personal matters and errands as necessary.Excellent PC knowledge- Proficient Microsoft Office Suite- Word, Excel, PowerPoint (as well as create and maintain presentation, database and spreadsheet files)
  • Excellent written, verbal, and communication skills to assure successful interaction with all levels of employees and external contacts
  • Discreet, loyal, mindful of others, respectful, great communicator, and outgoing personality
  • A fast learner, someone who takes the initiative to figure out what needs to be done and is a self-starter
  • Previous project management experience is ideal
  • Excellent organizational skills, attention to detail, and must have great follow through skills
  • Positive attitude, strong work ethic, and can-do roll-up your sleeves attitude
  • Excellent customer service skills, great interpersonal skills, and able to work well with different types of personalities
  • Ability to take ownership of assignments and show great accountability for work
  • Demonstrate ability to manage time wisely, prioritize effectively in a fast-paced environment, meet deadlines, and follow instructions, and work well under pressure
  • Must be able to occasionally work extended hours and weekends when necessary
  • Willing to travel domestically up to 15%
  • Valid CA Driver’s License, reliable car, and proof of insurance
  • Ability to bend, squat, climb stairs and lift up 15 lbs. frequently
